Establishment administration

Invite your team, manage access and choose which tools your establishment uses.

Reviewed:

Understand who can change what

  1. Open More on a phone or Tools & settings on a computer. Select Establishment administration and check Establishment. Full administrators manage establishment-wide access; other people may see only the sections they are authorized to manage.
  2. Use Members to assign a person’s role and Permissions to define what a role or person can do. A job position, such as bartender, is separate from an access role.
  3. Before changing access, review the person, establishment and intended effect. An explicit denial can block an action even when another setting would allow it.

Invite someone to your establishment

  1. Open More or Tools & settings → Establishment invitations → New invitation.
  2. Enter Employee email, Roster / full name and Intended role. Use the address the employee will verify and sign in with. Check the role before proceeding.
  3. Select Send invitation. Review Pending or History and the email status. The person must verify the invited address and choose Accept invitation before becoming a member.
  4. Use Resend for a replacement invitation or Revoke when the person should no longer accept it, and read the confirmation. Sent to email provider does not guarantee inbox delivery.

An invitation to a Chat channel does not create establishment membership. Invite the employee to the establishment first.

Change roles or individual permissions

  1. Open Establishment administration → Members. Find the teammate and select the intended Admin, Manager, Employee or custom role.
  2. Read the access-change review and confirm only the intended change. Check any individual permission adjustments that remain in place.
  3. For more specific access, open Permissions, choose a role template or teammate and review the available capabilities. Choose Allow or Don’t allow as needed.
  4. Review and save the permission changes. Reset to defaults restores the displayed default choices for review; check them before saving.

You cannot change your own protected authority or remove the last active administrator. If someone changed access while you were reviewing it, reload and review the latest settings before saving.

Manage channel access

  1. Open Channels in Establishment administration and select a channel you can manage. Private channels remain restricted to authorized people.
  2. Use Add a teammate, choose the person and select Add to channel. Review participant or moderator roles before changing them.
  3. Read confirmations before removing a member, archiving or restoring a channel. Archiving stops posting; restoring allows posting again. Channel roles do not change establishment roles.

Choose available features and establishment settings

  1. As a full administrator, open Settings. Review the feature availability controls and read the confirmation before enabling or disabling a feature.
  2. Disabling a feature stops its normal workflows but keeps its records. If Incident log is disabled, authorized readers can still use Retained incident records · Read only from Tools & settings.
  3. Review any establishment name or timezone setting before saving. A timezone change keeps stored shift times but changes how recurring local availability is interpreted, so review the schedule afterward.

Review changes and export records

  1. Open Audit to review recorded access and settings changes. Expand related updates and load older events when offered. Routine conversation or incident edits are found in those features instead.
  2. In the section you want to report, select Export / Print when available. Read Scope and the record count; different administration sections include different records.
  3. Choose Export CSV for a spreadsheet file or Print / Save as PDF to finish in the browser’s print window. Keep exported team and access information with the people authorized to have it.

Older audit events may not include before-and-after values. Current settings cannot reconstruct details that were not recorded. Saved reports do not update when access or membership changes.

If an action is missing or an invitation fails

  1. Check the selected establishment, your current role and the person’s current membership. Ask another full administrator to review protected changes you cannot make yourself.
  2. For invitation problems, check the invited email, expiry and latest status. Ask the employee to use the newest invitation with that exact email and verify it. Do not accept or verify on their behalf.
  3. If a save says the record changed or access was revoked, refresh and review the current state before trying again. For unresolved app errors, contact Help & feedback with the action and error text.
