Tip pooling

Work out a shared tip distribution, review each person’s share and keep a record of the decision.

Reviewed:

Before you create a pool

  1. Open More on a phone or Tools & settings on a computer. Select Tip pooling. You need permission to manage tip pools for the current establishment.
  2. Gather the cash and card tip totals, the eligible employees and their actual worked time for the service. Confirm the pooling policy your establishment uses before choosing a method.
  3. Choose the Month to review existing pools, or select New tip pool. The summary is for the displayed page only; use Next page or Previous page for other records.

Tip pooling records a distribution. It does not collect tips, pay employees, run payroll or update anyone’s private My Tips journal. Administrators and managers cannot be added as recipients. Confirm eligibility under your establishment’s policy before including anyone else.

Choose how to split the tips

  1. Enter Pool name and Work date, such as “Friday dinner.” Enter Cash collected and Card tips collected separately.
  2. Choose Hours worked when shares should follow actual worked time. For $120 and employees working 2, 3 and 1 hours, the shares are $40, $60 and $20.
  3. Choose Points × hours when your policy weights time by assigned points. Four hours at 2 points has the same weight as eight hours at 1 point. A role name does not assign points automatically.
  4. Choose Equal shares only when each included employee should receive the same share, regardless of time worked.

Add employees and save a draft

  1. Use Add an employee and choose each eligible person once. Check their role for the service and enter actual hours and minutes. For Points × hours, enter the assigned points too.
  2. Read Review the distribution and Allocation breakdown. Check each employee’s cash, card and total share, and that the totals match the collected tips. Cash and card are rounded separately to whole cents.
  3. Add Pool notes if needed. Select “I reviewed the actual hours, eligible recipients, and applicable pooling policy.” Then select Save draft.
  4. Check that the pool is saved as Draft. Open it and use Edit draft if anything needs correcting before finalization.

Finalize a pool or correct a finalized record

  1. Open the saved draft and review all amounts and recipients. Select Finalize pool, read the confirmation and confirm only when the distribution is ready.
  2. The pool becomes Finalized and its distribution is locked. This records the agreed shares; no payment is sent.
  3. If the finalized record is wrong, select Void pool, enter Reason for voiding and confirm. The original remains in history as Voided. Prepare and review a corrected draft rather than treating the old record as a payment reversal.
  4. Use Copy to new draft to reuse a pool’s setup. Check the new date, tips, people and worked time before saving. Open Change history to review the recorded changes.

Download, print or save a PDF

  1. Open the pool you want to report. Check its date and status so a draft or voided distribution is not mistaken for a final payment record.
  2. Select Export / Print. Read Scope to check what is included, then review the record count and preview.
  3. Select Export CSV to download a file you can open in a spreadsheet app.
  4. Or select Print / Save as PDF. Choose a printer or Save as PDF in your browser’s print window, if your device offers it, and finish printing or saving.

The preview shows up to 50 records. Follow the stated scope for the full download or printout. Attachments are listed by name; download the files separately. Saved copies do not update when records change in Oomūli.

If saving or a share looks wrong

  1. Check the split method, actual minutes, points and duplicate or missing recipients. Small one-cent differences can come from distributing the remaining cents consistently.
  2. If an employee is no longer eligible, remove them and review the whole distribution again. If the save result is uncertain, use Retry same change instead of creating another pool.
  3. If your management access changed, ask an administrator to review it. For an app error, use Help & feedback and describe the error without sharing employees’ private details.
